Privacy Policy
Overview
This policy explains how Aussie AI Artists handles personal information. The platform is designed around data minimisation and transparent use even where the Privacy Act 1988 (Cth) may not legally apply to every small operator or activity.
Information collected
We may collect account identifiers supplied through Google sign-in; name, email and profile image; public artist information; private member profile information; certification evidence and review notes; uploaded media; posts, releases, comments and messages; contact enquiries; moderation reports; IP address, user agent, timestamps, security logs and audit records; and technical information needed to operate the service.
Why information is used
Information is used to authenticate users, operate profiles and the member hub, review public submissions, assess certification, moderate conduct, prevent abuse, respond to enquiries, secure and back up the platform, provide notifications, publish approved content and maintain legitimate organisational records.
Certification information
Evidence supplied for certification may include portfolio links, public videos, statements about AI tools and human contribution, Australian connection and rights practices. Only the certification status and information the artist chooses to publish are normally public. Private evidence and administrator notes are restricted to authorised administrators, except where disclosure is required by law or necessary to investigate serious abuse.
Public information
Approved profiles, works, posts, comments and public links can be viewed, indexed, quoted or shared by others. Do not publish information you need to keep private.
Messages and member areas
Private messages and member areas are access-controlled but are not guaranteed to be end-to-end encrypted. Authorised administrators may access records where reasonably necessary for safety, moderation, technical support, legal compliance or abuse investigation.
External services
The site may use Google authentication, YouTube embeds, email delivery, hosting providers and links to external platforms. Those providers process information under their own terms and privacy policies and may operate outside Australia.
Cookies and sessions
Essential session cookies are used for login, security and preferences. The site does not require advertising cookies. Embedded third-party media may set or use its own storage when loaded.
Security and retention
Reasonable technical and organisational measures are used, including access controls, CSRF protection, restricted uploads, audit logs and backups. No internet service is completely secure. Data is retained only as long as reasonably needed for platform operation, safety, dispute handling, lawful records, backups and legitimate association history.
Access, correction and deletion
You may request access to or correction of personal information held about you. Account closure may remove private access while preserving lawful audit, moderation, publication, credit or archival records. Public content can be hidden or removed where appropriate, but third-party copies and search-engine caches are outside our control.
Data breaches
Suspected breaches are assessed and handled according to applicable Australian law and good security practice, including notification obligations where the Notifiable Data Breaches scheme applies.
Complaints and contact
Use the contact page for privacy questions, requests or complaints. We will respond within a reasonable period and may ask for identity verification before releasing or changing account information.
